What is Society Registration Renewal?

Society Registration Renewal is the process of updating a society's or non-profit organization's registration with the Registrar of societies of the state. 

Every society registered under the Society Registration Act, 1860 is valid for 5 years only. After that every society needs to renew itself. The process of renewing a society is wide and renewal of society includes documentation and fees of renewal. Society Registration renewal in India, under the aforementioned Act is required by the government.

Societies and nonprofit organizations must register with the government in many nations in order to be able to operate lawfully and benefit from things like tax exemptions and financing.

Documents Needed For Society Registration Renewal

Renewal of a society which is registered under society registration act, needs to renew their registration after every 5 years. For renewal few documents are required. The list of documents needed is as follows:

• Application for Renewal:

  For Society Registration Renewal, obtain the prescribed application from the concerned authority. This application works as a request for society registration renewal.

• Society Registration Certificate:

  The Original and photocopy of the current registration certificate, both are required for the further process.

• List of Executive Members:

  A list of executive members along with their complete name (in block letter), address & occupation are required.

• Authenticity Certificate:

  A signed Authenticity Certificate by three members of the existing executive committee must be submitted for the renewal. Later, may be the certificate attested by the gazetted officer.

• Financial Statements:

  Previous year financial statements are provided by society. This includes Income & Expenditure Statement, Balance Sheet, etc.

• Audit Report:

  The Government Auditor or Chartered Accountant provides a verified photocopy of the current audit report as approved by the society's Annual General Meeting. Within 30 days of AGM's approval this photocopy needs to be submitted to the registrar.

• Copy of Utilization Certificate:

  The utilization Certificate needs to include the society's use of semi-governmental, governmental, or institutional funds received before or at the time of the renewal application.

• Signature Of New Members:

  All new executive members sign with their names and DOB in the presence of the Deputy Commissioner/Sub Divisional Officer, who will sign on that paper with full names in block letters, dates, and designations in token of his having witnessed the same.

• Bank Account Statement:

  Photocopies of Society's bank account statements must also be furnished at the time of renewal of society.

• Bank Passbook Copy:

  Society's Passbook Photocopies, used in the last 3 years before renewal date is needed.

• Affidavit:

  An affidavit from the homeowner with confirmation of ownership is required in case of a society's office being housed in a rented building.

• Passport Size Photo:

  Attested passport-size pictures of the President and Secretary.

• Renewal Fee:

  Requisite Fee needs to be paid along with the documents for the renewal of society registration.

Renewal Process of Society 

Following is the process of society Registration Renewal in India:

Step 1. The application for the renewal of a society's registration in India must include a list of the members of the governing body chosen after the first registration or renewal.

Step 2. The society registration certificate had to be renewed only if the Registrar had not dispensed it due to destruction, loss, or any other relevant reason.

Step 3. The following details must be included with an online application form for renewal provided by the state government on its relevant official website:

• Number of the current society registration file.
• The identification of the group whose registration needs to be renewed.
• All of the applicant's contact details, including their telephone and email addresses

Step 4. Submission of the required documentation is required. When the society registration is renewed, the prior file number will be retained.

**Additional amount of ₹20 or more charged per month, But the added amount cannot be more than half of the aforementioned additional fee. Apart from the above mentioned Government fee, professional fee will also be charged for the society renewal process.

What if Renewal Fails?

If a society's registration is not renewed within a year of its expiration date, it will be deemed as being unregistered or null. The registrar may approve the renewal of the society's registration even after a year has passed since the registration's expiration date. Strong justification must be provided to the registrar in this case. The registrar may charge an additional cost of ₹400.

Conclusion

Under the Societies Registration Act of 1860, each society's registration is registered for a period of five years. Society must re-register after this time period is over. Within one month of the registration's expiration date, the society registration must be renewed. After providing the necessary information about the society, the state government's website or online portal can be used to renew society registrations.
